Robotic Process Automation for "Register event calendar" and "Apply for mini schemes"

Robotic process automation (RPA) is used to carry out the administrative work for the processes "Register event calendar" and "Apply for minimum regulations". Using RPA, two types of collection cases are automatically handled administratively in the case system (xxllnc Zaken). This eliminates the need for employees to perform these administrative actions.

Responsible use

Goal and impact

The purpose of using RPA is to automate repetitive administrative work by employees of Zutphen municipality. Based on exact characteristics, rule-based, a previously manual action is now performed by RPA. This reduces the time required for administrative actions. This leaves the employee with more time for substantive processing of applications.

Considerations

The work done by RPA and thus the use of the algorithm does not involve interpretation. It is purely administrative processing, where human intervention does not add value. This human input can be better used in the assessment and handling of application processes.

Human intervention

An employee receives an automatic signal if the RPA has not gone well, then a manual action is performed to still perform the action.

Risk management

There are no risks, if the RPA cannot be executed, an automatic log is sent, after which an employee goes to assess what went wrong and this is then corrected.

Technical design

Technical: We use RPA, which is a robot programmed based on rules. The robot performs the programmed action every hour, thus the process is executed. If the robot cannot perform the action, for example because the ICT system would be temporarily unavailable, the process is not executed. An employee still sees this action and picks it up manually, also an error message is sent, giving the reason why the robot could not perform its action.
