Voice-activated reporting

This algorithm automatically converts spoken text into written text. Professionals can record a report, minutes or a case note during or immediately after a meeting. The system generates a draft text from this, which is then checked and edited by a member of staff before being saved.

Responsible use

Goal and impact

The aim of the system is to reduce the amount of administrative work. It helps staff to record information more effectively. This gives them more time to care for clients. The system makes it quicker to produce reports. The staff member remains responsible for the content of the report.

Considerations

Under the Supplementary Care and Welfare Agreement (AZWA), it has been decided that saving time and reducing administrative burdens are important. This has been weighed against the risks, such as errors in writing down or misinterpreting spoken text. It is therefore important that there is always a human check before information is stored or used.

Human intervention

A member of staff checks, corrects and approves the text generated by the system. No final report is produced without human review.

Risk management

Users must check the text for accuracy and completeness. Only authorised staff may view the data. Personal data is processed in accordance with the organisation’s privacy and security policies.

Legal basis

Carrying out a task within the public healthcare system and maintaining patient records. This relates to the WGBO (Medical Treatment Contracts Act) and the Public Health Act (Wpg).

Operations

Data

Spoken text, transcripts, reports, file information and metadata such as the date and time of recording.

Technical design

The application converts spoken language into text using speech recognition. The text is then processed into a readable draft note. The staff member checks and amends the text where necessary before it is saved in the file or records system. The audio file is deleted.

  • The reporting system's algorithm recognises words in reports, such as 'rubbish' or 'pavement', and automatically determines the correct category and department. As a result, reporters no longer have to choose a category, and reports are dealt with faster at the right department.
