Responsible use

Goal and impact

Better service: residents are helped faster because AI allows employees to quickly search the many sources of laws, regulations and internal policies.

Considerations

With this application, we improve our services because we can help residents faster. It also saves a lot of time for our staff, who can now focus more on their core tasks. Employees no longer have to consult all regulations (local and national) separately, reducing the chances of something being overlooked. AI also sometimes gives incomplete or wrong answers, but we always retain human intervention. We also invest in the AI literacy of our staff. These efforts keep the risks down and the benefits far outweigh the risks.

Human intervention

There is always a staff member who checks, reviews and corrects AI desk responses where necessary. The AI desk never communicates directly with residents.

Risk management

Employees working with the AI desk receive training to use the correct prompts. This teaches them never to enter personal or other pricacy-sensitive data into the AI desk. They are also trained on how to check the AI desk's responses. In addition, there is organisation-wide basic training naming the risks of AI.

Legal basis

The AI desk is only used in internal processes and does not make decisions without human intervention. A legal basis is therefore not required.

  • With the help of AI, the algorithm searches a knowledge base (containing laws, regulations and internal policy documents on the Participation Act) for information relevant to the question asked by the municipal employee. After obtaining the answer, the employee reviews the algorithm's answer and also checks the original documents.
